Privacy Policy

Premium Voice LLC Last updated: November 1, 2026 (DRAFT)

This Privacy Policy explains how Premium Voice LLC ("Premium Voice," "we," "us," or "our") collects, uses, shares, and protects personal information when you:

  • visit our website at mypremiumvoice.com and related pages (the "Site");
  • contact us, request a demo, or otherwise become a sales lead; or
  • call, or are called by, a business that uses the Premium Voice AI phone answering service (the "Service").

If your business has signed an Order Form or service agreement with us, that agreement also governs how we handle data for your business. If the agreement and this Policy conflict on service data, the agreement controls.

1. Who we are and our role

Premium Voice LLC provides AI phone answering and missed-call follow-up for local businesses. We are based in Valparaiso, Indiana, USA.

We play two roles:

  • For Site visitors, leads, and our own business customers' contacts, we decide how your information is used (we act as the "business" or "controller").
  • For callers to a business that uses our Service, we process call information on behalf of that business and under its instructions (we act as a "service provider" or "processor"). If you called a business and want to know what it does with your information, or want to exercise a privacy right, please contact that business first. We will help it respond.

We do not ask for, and ask you not to send us, Social Security numbers, financial account numbers, health information, or other sensitive information through the Site or the Service.

3. How we use information

We use personal information to:

  1. respond to your inquiries, schedule calls or demos, and send information you request;
  2. set up, provide, maintain, and support the Service for our business customers — including answering calls, transferring calls, taking messages, creating summaries, and sending call notifications to the customer;
  3. bill and collect payment from business customers;
  4. monitor quality, troubleshoot, and keep the Site and Service secure, including detecting fraud, spam, and abuse;
  5. improve the Site and the Service, using aggregated or de-identified information where practical;
  6. send business-to-business marketing email about our own services (you can unsubscribe at any time using the link in the email); and
  7. comply with law, enforce our agreements, and protect our rights and the rights of others.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not use callers' recordings or transcripts to train general-purpose AI models for third parties.

4. AI answering and call recording notice

When a business uses Premium Voice to answer its phone:

  • Callers are told at the start of the call that they are speaking with an automated / AI assistant and that the call may be recorded and transcribed. Callers who do not want to continue can hang up or ask to reach the business another way, where the business offers one.
  • Calls are recorded and transcribed so the business can review what was said, follow up, and check quality.
  • If a call is transferred to a person, the caller is either reminded that recording may continue, or recording stops for the transferred portion, depending on the business's configuration.
  • AI-generated summaries and transcripts can contain mistakes. The business, not the AI, is responsible for decisions it makes based on a call.

Each business customer is responsible for meeting the recording-consent and disclosure laws that apply to its calls, including states that require consent from all parties.

5. Text messages (SMS)

Premium Voice does not currently sell text-messaging as part of its public plans. If we or a business customer send you text messages through our systems in the future:

  • We will only text you after you give express consent for the type of messages described at the time you opt in (for example, a callback confirmation or appointment reminder). Consent is not a condition of purchase.
  • Message frequency varies. Message and data rates may apply.
  • Reply STOP to opt out at any time; reply HELP for help, or contact us at info@mypremiumvoice.com. After you opt out, you may receive one final message confirming it.
  • Mobile numbers and SMS opt-in consent are never sold or shared with third parties or affiliates for their marketing or promotional purposes. We share them only with service providers that help us deliver the messages.
  • Messages will not include content restricted by wireless carrier policies.

6. How we share information

We share personal information only as described here:

  • Service providers / processors that help us run the Site and Service, under contracts that limit their use of the data to providing services to us. Categories include: website hosting; cloud computing and storage; telephone and voice connectivity; speech-recognition and language-processing (AI) services; email delivery; customer-relationship and support tools; analytics; and payment processing. A current list of processor categories is available on request to info@mypremiumvoice.com.
  • The business you called. Call recordings, transcripts, summaries, and caller details are delivered to the business customer whose line you called.
  • Legal and safety. When we believe in good faith that disclosure is required by law, subpoena, or court order, or is needed to protect the rights, property, or safety of Premium Voice, our customers, or others.
  • Business transfers. In connection with a merger, acquisition, financing, reorganization, or sale of all or part of our business, subject to this Policy's protections.
  • With your direction or consent.

We may share aggregated or de-identified information that cannot reasonably be used to identify you.

7. Cookies and analytics

The Site may use cookies and similar technologies that are needed to operate the Site and to understand how visitors use it (for example, page views and traffic sources via built-in website analytics). We do not currently run third-party advertising or retargeting pixels on the Site.

You can block or delete cookies in your browser settings; some Site features may not work without them. The Site does not currently respond to browser "Do Not Track" signals.

8. How long we keep information

Data Default retention
Call recordings and transcripts (Service) Up to 30 days, then deleted or de-identified, unless the customer's agreement or law requires a different period
Call summaries / call logs delivered to the customer For the life of the customer's account, then deleted within 90 days after termination
Lead and inquiry records Up to 24 months after our last contact, unless you become a customer
Customer account and billing records As long as needed for the relationship, plus as required for tax and accounting law
SMS opt-in / opt-out records As long as needed to prove consent and honor opt-outs (typically up to 5 years)

We may keep information longer if required by law or to resolve disputes or enforce agreements.

9. Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information — for example, encryption in transit, access limited to people who need it, and account-level access controls with our providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we learn of a security incident affecting your personal information, we will notify you and/or the affected business customer as required by law.

10. Your choices and rights

  • Email marketing: unsubscribe using the link in any marketing email.
  • Text messages: reply STOP (see §5).
  • Access, correction, deletion: you may ask us to access, correct, or delete personal information we hold about you as a Site visitor, lead, or customer contact by emailing info@mypremiumvoice.com with the subject "Privacy Request." We will verify your request and respond within the time required by applicable law.
  • Callers to a business: contact the business you called; we will assist it in responding (see §1).

California and other U.S. state residents. Depending on where you live, you may have rights to know what personal information we collect, use, and disclose; to access, correct, or delete it; to opt out of "sale" or "sharing" (we do not sell or share it); and not to be discriminated against for exercising these rights. You may use an authorized agent; we may ask for proof of authorization. California residents may also request information about disclosures for direct-marketing purposes (we make none).

We do not knowingly offer the Service outside the United States. If you access the Site from outside the U.S., your information will be processed in the U.S.

11. Children's privacy

The Site and Service are intended for businesses and adults. We do not knowingly collect personal information from children under 13 through the Site. If you believe a child has provided us personal information, contact us and we will delete it. (Business customers are responsible for how their own phone lines are used by callers of any age.)

12. Records we do not keep for customers

The Service is a call-answering and follow-up tool. It is not a system of record for any regulatory, licensing, medical, or government-required records our customers may be obligated to keep, and customers should not rely on it for that purpose.

13. Links to other sites

The Site may link to sites we do not control. Their privacy practices are governed by their own policies.

14. Changes to this Policy

We may update this Policy from time to time. We will post the updated version with a new "Last updated" date and, for material changes, give additional notice (such as an email to customers or a Site banner).
